Does the software I already pay for have AI?#

Increasingly yes, and it is the first thing to check before paying for anything new. Through 2025 and 2026 the platforms shipped the same jobs the new apps sell: voice-to-job-notes, call answering, quote drafting, bill capture. Two catches. Most of it is a paid upgrade rather than a free feature drop, and almost all of it is off until you go and turn it on.

Writing quotes, job descriptions and customer updates#

Wording is the admin job AI is genuinely good at today, because turning rough notes into readable English is the thing language models actually do. Talk or type "replace 3 rotten deck boards, resand, 2 coats decking oil" and you get back something a customer can read without ringing you to ask what it means.

What it cannot do

Pick the number. It does not know your charge-out rate, your supplier prices, or that this job has a difficult access. Every AI quoting tool on this page drafts words around a price you supply; none of them prices the job for you, whatever the marketing suggests.

Where Chippie does this job

Which standalone AI quoting apps are worth knowing?#

Single-feature tools that turn a voice note, photo or typed description into a draft quote, priced from $16.58 USD to $99.99 a month. Worth knowing if you hate your current quoting flow enough to run a second tool beside it, because the quote still has to land somewhere for scheduling and invoicing. Sammy AI is the one entry here whose company we could independently confirm: the App Store seller is Ubuilda Pty Ltd, listed on the Commonwealth ABN register as an active Victorian company, GST-registered, trading as SAMMY AI.

The verdict

If you already pay for job management software, use its writing help and buy nothing. The longer version is in AI quoting software, and what it cannot do. And if the number on the quote worries you more than the wording, the thing to read is not an AI page at all, it is how to work out your charge-out rate.

Answering the phone while you are on the tools#

This is the one AI category tradies pay for and keep paying for, because the problem is real money. You are up a ladder, you cannot answer, and the caller rings the next bloke. An AI receptionist answers, gets the name, number and job type, and texts or emails you the lot. What it cannot do is quote on the phone, judge whether a job is worth taking, or keep a regular customer feeling looked after. It is a lead catcher, not a relationship.

Where the call ends up

The deciding factor is not the voice, it is where the call ends up. One that writes the job into your software saves the double handling. One that emails a transcript is another inbox to clear, which is how these get cancelled in week three. The verdict

You probably do not need this if you are solo and your missed calls come back as texts anyway. Count the calls you actually miss in a fortnight against what one booked job is worth. Under one job and $99 a month buys you nothing. Chasing invoices and getting paid#

AI can write the chaser. It should not send it for you. Around 44% of small-business invoices are paid late, so the job is real, but the part that fixes it is not clever wording. It is invoicing on the day you finish, and knowing on Monday morning exactly which invoices are overdue and by how long. That is a list, not an intelligence problem, and every job management platform on this page will give you one.

Where AI genuinely helps

The bit tradies put off: writing the second and third reminder without sounding like you are begging or threatening. Where it should not go is unattended sending. One wrongly-flagged invoice to a good client costs more than every minute it saved you.

Do not buy an AI tool for this. Turn on the payment reminders in whatever you already run, and invoice sooner.

Scheduling the week#

This is the thinnest category on the page for a crew of one to ten. AI scheduling is built for dispatch: twenty vans, a queue of jobs, and someone in an office deciding who goes where. Simpro and AroFlo's Lightning is aimed at exactly that, and the uplift on your contract is 25% after the intro window closed on 31 May 2026. If you have four people and you already know who is good at what, there is nothing there for you to buy.

What AI does not know

The half of scheduling that matters: that the client only gets home at four, that the part has not landed, that you are not sending the apprentice to that address on his own. A calendar you actually trust beats a scheduler sorting your week around facts it does not have.

The verdict

Skip it. Chippie has a calendar, site visits, job sessions and recurring jobs, and no AI scheduler, which is the right shape for a small crew. Everything Chippie does is on one page if you want to check that against what you need.

Getting supplier invoices and paper off the dash#

Reading a photo of a document into structured data is the second thing AI is properly good at, and it is the one that quietly pays for itself. A supplier invoice photographed at the counter becomes a vendor, a date, line items and a total, instead of a curled receipt in the ute that you retype in March or never.

Who already does it

Tradify's SmartRead does this for supplier bills on the Plus plan. Chippie's invoice-document import reads an uploaded PDF or photo of an invoice into a structured record, and Chip AI will also take a messy pasted contact list and turn it into client records in bulk. The same three limits apply: no invented prices, every write behind your tap, nothing outside its tool list. Be clear on what is not here: Chippie does not do receipt-to-expense capture, so fuel dockets and hardware receipts are still a bookkeeping job.

The verdict

Worth having, not worth buying separately. Check whether the platform you pay for already reads bills before you add anything.

Bookkeeping, GST and BAS#

Nothing on this page does your BAS. That is worth saying plainly, because "AI bookkeeping" ads imply otherwise. What AI does here is answer questions about a ledger that is already correct. Xero's JAX is the real example: it answers against your own Xero data, inside your user permissions, and Xero says it is currently no additional charge while reserving the right to change that. Ask it what you spent on materials last quarter and it will tell you. Ask it whether that ute expense is deductible and you are asking a chatbot to be your accountant.

What AI cannot touch

The work that actually causes BAS pain: coding transactions honestly, keeping GST on and off the right lines, and having lodged before the date. The verdict

The tool that helps here is a bookkeeper, and AI makes their job faster rather than replacing it.

Should you hire an AI consultant?#

Most tradies asking this do not need one, and the honest reason is dull: the automations a consultant will wire up are usually already sitting switched off inside software you pay for. The done-for-you agencies in this space sell an audit of your admin, a set of automations connecting tools you already run, a chatbot or phone agent configured for you, and training for whoever does the office work. That is a real service. It is also, for a solo tradie with one app on a phone, an afternoon of reading settings pages.

What it costs

Pricing in this category is mostly unpublished, which is itself informative: we could not find a current, public price list from an Australian AI consultancy for trades to put in a table beside the tools above. Ask for the setup fee and the monthly retainer in writing before the first call, and compare both against the monthly prices on this page.

Five questions before you pay an AI consultant#

The ACCC's December 2025 industry snapshot on artificial intelligence put the risk plainly: "Firms may be incentivised to overstate the AI functionality of their products and services." That is not a reason to avoid consultants. It is a reason to make anyone selling you AI name the specific tools and the specific jobs before money changes hands.

Five questions worth asking before you pay anyone:

1. Which of these jobs are you automating, in my words, not yours?
2. Which of them does the software I already pay for do, and why is yours better?
3. What exactly are you building, and what happens to it when I stop paying you?
4. What are the monthly tool costs on top of your fee, and whose name are those accounts in?
5. Can I talk to a trade business of my size that you did this for?

The verdict

Worth it when you run several systems that do not talk to each other, or when someone is employed on admin full time and the wage is bigger than the fee. Not worth it when the real problem is that quotes and invoices live in your phone's notes app. Fix the foundation first, and the honest guide to AI for tradies is the long version of why.
