In any job management system an invoice has two jobs: look professional when it lands, and never let you lose track of whether it was paid. Chippie handles both from the phone.
Sending
Send the invoice by email straight from your phone, on site if you like. What goes out is:
- A professional PDF with your logo, business details and ABN.
- A secure, time-limited link to view the invoice online, no account required.
- Your accepted payment methods, so the client knows how to pay without asking.
The wording is yours. Quote and invoice emails are editable templates with placeholders for the client name, business name and invoice number, so the message sounds like you and not like software.
What the client sees
Your accepted payment methods, whether that is bank transfer, card, cash or a mix, come from your business settings and appear on the invoice and in the email. The client never has to send a message asking where to pay, which is a surprisingly common reason an invoice sits untouched for a week.
Tracking to paid
Payment tracking follows the real-world states rather than an idealised one:
| State | Who sets it | What it means |
|---|---|---|
| Sent | You | The invoice is out and the link is live |
| Submitted | The client | They say they have paid it |
| Confirmed | You | You have seen the money |
| Paid | You, or automatically on a card payment | Done, and the paid date is recorded |
The paid date is recorded automatically and consistently, which keeps your records straight without you thinking about it.
